Accessing a Delegated Email Account

Overview

In certain situations, you may be granted delegated access to an account that is not yours. Delegated access will allow you to read, respond, and organize the inbox of the separate email account. Before you can access the account, you must first accept the delegation invitation. You will log into your AU Gmail account to access the delegated account.

Limitations of a Delegated Account:

  • Delegation is for email only. Apps like Calendar and Drive will need to be shared within the individual apps.
  • Delegated accounts can only be accessed via a web browser. You will not be able to access a delegated account using an app on your mobile device.

Getting Delegated Access

ITS grants delegated access to email accounts. To request access to an account, please submit a Raven Solutions request. ITS verifies the permission for delegates with the supervisor within the relevant department. Upon being granted access, you will receive an email from Anderson University Team <delegation-noreply@google.com> similar to the following:

Here are common characteristics of the delegation email:

  1. The subject will indicate that "[First name] has granted you access...". With non-person accounts, the first name may be the first part of the account name. So if the email address were named AU ITS, it would indicate that AU has granted you access...".
  2. The email you are being granted delegation to will be listed first in the introductory paragraph.
  3. Your email address will be listed second in the introductory paragraph.
  4. The link to accept the delegation will be listed first. Make sure that the link starts with https://mail-settings.google.com/mail. Click on the link in the email to accept the delegation.

Accessing a Delegated Account

  1. Log in to your AU email within a browser.
  2. Click on your Raven Mail icon in the top right corner.
  3. The delegated account will now be on your account list. Click on the delegated account to open the account's inbox.

By default, all delegated accounts are set to:

  • When reviewing the inbox, it will mark conversation as read when opened by others
  • When sending an email from the account, show the delegated address and the person who sent it ("sent by …")
