Authorize an Account Extension for Adjunct Faculty

Summary

Adjunct faculty have access to their AU accounts 3 weeks prior to the start of their teaching assignment and lose access 3 months after the end of their teaching assignment. If a department chair or dean determines that the adjunct should have access beyond these dates, they or a designated department administrator can authorize an account extension in AccessAU.

Overview

Adjunct faculty have access to their AU accounts (Okta and email) 3 weeks prior to the start of their teaching assignment and lose access 3 months after the end of their teaching assignment.

  • For example, if the instructor teaches one class in the Fall, their account will be active near the beginning of August and will be deactivated at the end of March.
  • Conversely, if the instructor teaches a class in the Fall and in the Spring every year, their account will be activated near the beginning of August and then remain active until they are no longer teaching another class.

If a department chair or dean determines that the adjunct should have access beyond these dates, they or a designated department administrator can authorize an account extension in AccessAU. Adjunct faculty with active accounts are REQUIRED to complete Information Security Training whether they are teaching at the time or not.

Additional Considerations:

  • IMPORTANT: For an adjunct's AU accounts to be active, they must be listed as an active employee in Paycom AND they must be listed as the instructor of record in an upcoming or current class in AccessAU.
  • Accounts are automatically locked if a user does not log in for 6 months even if the person has been granted an extension. Please contact ITS to get the account unlocked by submitting a Raven Solutions request.
  • Accounts are deleted after being locked for 6 months. Email and drive contents are not recoverable once an account has been deleted.

Instructions

Deans, department chairs, and designated department administrators can authorize an account extensions.

  1. Log in to AccessAU Academics
  2. Click on the NavBar menu icon (A) in the top right corner.

  3. Click on AU Custom Folder (B) > Authorize Faculty (C).
  4. Enter the instructor's ID number (D) and click Search (E).

  5. In the Term field, click the magnifying glass icon (F) and select the additional term for which the instructor needs access. For example, if the instructor only teaches in the fall, they will need to be added to the upcoming spring and summer terms to keep them active until the next time they teach.

  6. Click the Save button (G) once you have added all the needed terms.
